How is PTO accrual calculated?
The calculator applies the selected annual, monthly, pay-period, or lump-sum rule from the hire date. For a pay-period plan, enter the rate and number of periods used by your employer. Actual payroll calendars, waiting periods, service tiers, and partial periods can produce a different balance.
What is the difference between an accrual cap and a use-it-or-lose-it cap?
An accrual cap pauses new earning when a real balance reaches its limit, while a use-it-or-lose-it rule removes unused time on a specified date. This calculator provides a simplified estimate: capped cumulative earned hours minus total hours used. Because it does not collect dated usage, it cannot model when accrual stopped or resumed, and it does not model annual forfeiture. Check your pay stub, plan document, and current state law for the actual balance.
Which accrual method should I pick if my employer pays me biweekly?
Choose per pay period and enter the count used in your plan. Biweekly payroll usually has 26 pay dates but occasionally has 27 in a calendar year; semimonthly payroll has 24. Use the employer's accrual schedule rather than assuming the pay-date count determines the PTO rule.
Why does the projected year-end balance differ from my current balance?
The projection estimates additional gross accrual over the calendar days remaining in the year, applies the entered cumulative earned cap, then subtracts the same total hours-used value as the current estimate. It does not assume future PTO use, waiting periods, rate changes, or dated stop-and-resume behavior, so compare it with your employer's ledger.
Does this calculator handle unpaid leave, FMLA, or sabbatical time?
No. The calculator does not model pauses, changing work schedules, waiting periods, or leave-specific accrual rules. Shifting the hire date can also shift anniversaries and pay-period boundaries, so it is not a reliable workaround. Calculate those periods from the employer's ledger or plan document.
